BookifyLabs Privacy Policy

This Privacy Policy explains how LUMINA AI LLC ('LUMINA AI LLC', 'we', 'us', or 'our'), the operator of BookifyLabs, collects, uses, stores, and protects information when you use the BookifyLabs booking management platform and related services ('Service'). BookifyLabs is a software platform operated by LUMINA AI LLC, registered at Besarion Zhgenti N49, Tbilisi, Georgia. This Privacy Policy explains how we process personal information in connection with the Service and applies to business account users, authorized users, and visitors to BookifyLabs where applicable. By using BookifyLabs, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

To provide and maintain the Service, we may collect the following categories of information: Business Account Information This may include: business name; business address or location information provided by you; contact person name; email address; phone number; account login information; subscription and payment status; account and Service usage information. Customer Booking Information Businesses using BookifyLabs may store information related to their customers, such as: customer name; contact details; appointment details; selected services or professionals; booking notes or other information entered by the business or customer. Technical Information When you use the Service, we may also process technical information necessary for operating and securing the platform, such as IP address, browser or device information, authentication information, logs, and information about interactions with the Service. Analytics and Advertising Information Where you have given consent to analytics cookies, we and our analytics/advertising partners collect information such as IP address, browser and device type, pages viewed, referral source, approximate location, and interactions with our pages, using tools such as Google Analytics. Once that consent is given, we also use Meta Pixel across our website and landing pages to collect information such as ad click identifiers, device and browser identifiers, and page-interaction data. Meta may associate this information with your Meta account activity in accordance with Meta's own terms and policies, and we use this data to run retargeting (remarketing) advertising campaigns on Meta platforms, showing ads to people who have previously visited our website or landing pages. Payment Information Subscription payments are processed by Paddle, our authorized payment provider and merchant of record. Depending on the payment method used, Paddle may collect and process payment information in accordance with its own privacy policy and terms. BookifyLabs may receive information such as payment status, transaction identifiers, subscription details, and billing records from Paddle.

2. How We Use Information

We use information as reasonably necessary to provide, operate, maintain, secure, and improve the BookifyLabs Service, including: creating and managing business accounts; providing online booking functionality; managing appointments; sending service-related notifications; maintaining account and platform security; preventing fraud, abuse, and unauthorized access; providing customer support; processing and managing subscription payments; maintaining billing and accounting records; monitoring and improving platform performance; analyzing website and landing page traffic using tools such as Google Analytics, where consent has been given; measuring the performance of, and running retargeting/remarketing campaigns for, our advertising on Meta platforms using Meta Pixel, where consent has been given; communicating important information about the Service; complying with applicable legal obligations. We do not use customer booking information for targeted advertising.

3. How We Share Information

LUMINA AI LLC does not sell or rent personal information. We may share or provide access to information where reasonably necessary to operate the Service, including with service providers that assist us with hosting, infrastructure, authentication, communications, payments, security, analytics, customer support, advertising and retargeting, or other technical services. This includes Google (Google Analytics) and Meta Platforms, Inc. (Meta Pixel), who may receive technical and interaction information about visitors to our website and landing pages as described in Section 1, including for the purpose of retargeting advertising to prior visitors. Depending on applicable law (see Section 7), this kind of disclosure to advertising partners may be considered 'sharing' of personal information even though no payment is involved. These service providers may only process information as necessary to provide their services to us and may be subject to contractual, legal, or other confidentiality obligations where applicable. We may also disclose information where necessary to comply with applicable law, legal process, governmental requests, protect the rights or safety of LUMINA AI LLC, BookifyLabs, users, or third parties, or detect and prevent fraud, abuse, or security incidents. We do not provide customer information to unrelated businesses or organizations for their own marketing purposes.

4. Business Customer Data and Responsibilities

Businesses using BookifyLabs may enter and manage personal information relating to their own customers. Depending on the circumstances and applicable law, the business may determine why and how that customer information is processed, while LUMINA AI LLC provides the technical platform used to process and store it. Businesses using BookifyLabs are responsible for: ensuring they have an appropriate legal basis or other lawful authorization to collect and use customer information; informing their customers about their relevant data practices where required; ensuring that information entered into BookifyLabs is accurate and appropriate for the Service; responding to customer requests where the business is responsible for the relevant personal information. LUMINA AI LLC may process business customer data on behalf of the business as necessary to provide the Service. Where required by applicable data-protection law, the parties may need additional data-processing terms or agreements.

5. Data Storage and Security

We take reasonable technical and organizational measures designed to protect information stored and processed through BookifyLabs. These measures may include: access controls; secure authentication; restricted access to systems and information; technical protections designed to prevent unauthorized access; monitoring and security measures designed to detect misuse or unauthorized activity. However, no online service, network, or storage system can guarantee absolute security. We cannot guarantee that information will never be accessed, disclosed, altered, or destroyed as a result of circumstances beyond our reasonable control.

6. Data Retention

We retain information for as long as reasonably necessary to provide the Service, maintain security, fulfill contractual or operational requirements, resolve disputes, enforce our agreements, and meet applicable legal, accounting, or tax obligations. If you stop using BookifyLabs, certain information may be deleted according to your request and our applicable retention practices. Some information may remain stored for a period of time after account cancellation or deletion where necessary for legal, security, accounting, fraud-prevention, or other legitimate purposes. Billing and usage records — including subscription and payment history, conversation add-on purchase records, and remaining conversation balances — may be retained after a subscription is cancelled to meet accounting and tax obligations and because purchased conversation balances do not expire and may remain associated with the account if you resubscribe. Analytics and advertising information collected via Google Analytics and Meta Pixel is retained according to the retention settings we configure in those platforms and each provider's own retention practices. When a business account is deleted, associated information will be deleted or anonymized where reasonably possible, subject to information that must be retained under applicable law or for legitimate business purposes.

7. Data Deletion and Privacy Requests

Depending on your location and applicable law, you may have rights relating to your personal information, which may include the right to request access, correction, deletion, restriction of processing, or other rights provided by applicable data-protection law. If you use BookifyLabs through a business, some requests relating to customer booking information may need to be directed to the relevant business first because that business may control the purposes for which the information is processed. You may also contact LUMINA AI LLC regarding privacy requests, and we will review and respond to requests as required by applicable law. California and other US State Privacy Rights If you are a California resident, applicable law may give you the right to opt out of the 'sharing' of your personal information for cross-context behavioral advertising, which includes our use of Meta Pixel for retargeting as described in Sections 1 and 3. You may exercise this right through our cookie/consent settings, where available, or by contacting us using the details in Section 13. Residents of other US states with comparable privacy laws may have similar rights, which we will honor as required by applicable law. Where our use of Google Analytics or Meta Pixel is based on your consent, you may withdraw that consent at any time through our cookie settings, where available, or through the opt-out tools offered by Google and Meta directly. 8. Cookies and Technical Data

BookifyLabs may use necessary cookies or similar technologies to: keep users logged in; maintain account and platform security; remember necessary settings; maintain sessions; ensure the Service functions correctly. We also use analytics and advertising cookies and similar technologies, including Google Analytics and Meta Pixel, to help us understand how visitors use our website and landing pages and to measure and run retargeting advertising campaigns on Meta platforms. These tools collect information such as pages viewed, referral source, device and browser information, and ad interaction identifiers, and may set cookies or use similar identifiers on your device. Google Analytics and Meta Pixel are only loaded and activated after you have given consent through our cookie banner. We do not sell personal information collected through these cookies. Where applicable law requires consent for non-essential cookies or similar technologies — including analytics and advertising cookies such as those used by Google Analytics and Meta Pixel — we seek that consent before using them and provide a way for you to change your preferences.

9. Third-Party Services

BookifyLabs relies on certain third-party service providers to operate the platform. These may include providers for payment processing, hosting and infrastructure, email or notification delivery, authentication, security, analytics, advertising and retargeting, or other technical services. This includes: Google Analytics (Google LLC), used to analyze traffic and usage of our website and landing pages. More information is available in Google's privacy policy, and opt-out options are available through Google's Analytics Opt-out Browser Add-on. Meta Pixel (Meta Platforms, Inc.), used to run retargeting/remarketing advertising campaigns on Meta platforms such as Facebook and Instagram and to measure the performance of those campaigns, based on your consent. More information is available in Meta's privacy policy, and ad-preference controls are available through Meta's ad settings. Paddle.com Market Limited ('Paddle'), our payment provider and merchant of record, used to process subscription payments and conversation add-on purchases. More information is available in Paddle's privacy policy. Those providers may process information according to their own terms and privacy policies and, where applicable, according to contractual requirements imposed by LUMINA AI LLC. When you interact directly with a third-party service through or in connection with BookifyLabs, that third party may process information under its own privacy policy.

10. International Data Transfers

Depending on the services and infrastructure used to operate BookifyLabs, personal information may be processed or stored in countries other than the country in which you live or operate your business. This includes information processed by our analytics, advertising, and payment partners such as Google, Meta, and Paddle, which may transfer information internationally as part of their services. Where applicable law imposes requirements on international transfers of personal information, LUMINA AI LLC will take reasonable steps to use appropriate safeguards or other lawful mechanisms for such transfers.

11. Children's Privacy

BookifyLabs is a business software platform and is not intended to be used by children to create business accounts or purchase subscriptions. We do not knowingly request or intentionally collect personal information from children for the purpose of creating BookifyLabs accounts.

12. Changes to This Privacy Policy

LUMINA AI LLC may update this Privacy Policy from time to time as the Service develops or as legal and regulatory requirements change. Changes will be published on this page with an updated effective date. Where appropriate, we may provide additional notice of material changes.

14. Governing Law

This Privacy Policy is governed by, and will be construed in accordance with, the laws of Georgia, without regard to its conflict-of-law principles. Any dispute arising from or relating to this Privacy Policy will be subject to the exclusive jurisdiction of the competent courts of Tbilisi, Georgia, except where applicable mandatory law provides otherwise for your protection.
